Event Setup and Vendor Information for Appomattox Oyster Fest 2023
The Appomattox Oyster Festevent is being held on Saturday, April 22, 2023 (rain date Sunday, April 23rd) at DeVault Family Vineyards 247 Station Lane Concord, VA 24538 from 10:00 am – 5:00 pm.
Vendors will have two options for event setup:
- Friday April 21st from 12:00 pm to 7:00 pm by appointment – if you want to setup on Friday you must send us an email at info@appomattoxcares.org with your vendor name and the time you wish to setup on Friday to ensure that event staff are present and available to direct you to your designated vendor spot. Neither the Appomattox Community & Disaster Relief Organization, nor DeVault Family Vineyards will be responsible for anything left unattended before, during, or after the event.
- Saturday April 22nd starting at 7:00 am to 9:30 am. Every vendor will have an assigned vendor space, you will be instructed where to set up at arrival check-in. Please arrive BEFORE 9:00 am so you can be set up and vehicles moved before 9:30 am. No vehicles will be allowed into the event area after 9:30 am.
Food & Snack Vendors-
The health inspector will be onsite by 8:30 am – please have your necessary food handling permits available/posted.
Please, no theme park pricing! Prices should be reasonable, otherwise folks will be turned off and not patronize your business or return in the following years.
Please also have discounted menu items for our volunteers to purchase meals for $5. You can provide options to the vendor check-in staff upon arrival. They are helping us, as well as you, to succeed and deserve some love. They will be given volunteer credentials for easy identification. Please also provide a list of folks who will be working in your booth so that they may be checked in upon arrival.
Breweries & Distilleries–
Please do not accept any money purchases! Send those folks back to the Alcohol Ticket Sales Booth to purchase $5 tickets, which they will exchange tickets for alcohol purchases from you.
Only those folks with the “Alcohol Tasting” wristbands are allowed to sample and/or purchase any alcohol. If a non-drinking wristband wearer decides they want to start consuming alcohol, they must come to the Alcohol Ticket Booth, present their valid ID and pay an upcharge on their admission ticket to be issued an “Alcohol Tasting” wristband.
Do not give out too much of a sample or allow too many “return samplers” to visit your booth as they will try to drink the day away with samples rather than making purchases.
Beers will be distributed in our 16oz size event glass and cocktails will be 8oz, utilizing the same event glass.
Please STOP tapping any new kegs at 3:30 pm and notify us of any kegs or bottles that are not completely used up by the end of the event.
Distilleries are allowed to make “off-site” bottle sales ONLY. We will have a “pick up area” established for folks to claim their purchases at the end of their visit. Just mark them with the name and phone number of the buyer for identification purposes.
Wineries, Breweries, & Distilleries please bring your merchandise to sell and provide information about your business!
Reminders
We DO NOT provide an electrical service, so if electricity is needed for your vendor display you MUST bring a (quiet) generator with you. We DO NOT have running water (hot or cold) plumbed to the vendor areas, please plan accordingly, and bring any water needed for your vendor display. We DO have garbage cans and a dumpster on site for trash disposal. Please use the dumpster for your trash and clean up your area before departing for the day.
For the safety of everyone attending the event – No one will be allowed to pack up early and drive through the event grounds. You will be able to park extra vehicles in a designated area.
We will have ice for sale at $3 a bag for anyone needing it. If you plan to buy ice through us, please let us know so that we can plan to have enough on hand.
The Alcohol Ticket Sales / Ice Sales tent will be the central command center for the event. You can notify volunteers at that tent if you need ice or have a problem.
